Keep Early Warnings and Compensation Events distinct
NEC contracts use different processes for early warnings and compensation events. An Early Warning helps the parties raise and discuss a matter that could affect cost, time or performance. A Compensation Event follows its own contractual process for assessing a change to the Prices, Completion Date or Key Dates.
Using one generic “change” record for everything can make it harder to see which process applies, what response is due and what evidence supports the next step. The contract, Scope and project-specific amendments still determine what the parties must do.
Keep the sequence and evidence together
For each communication, a project team needs to understand what was issued, by whom, when it was sent and what happened next. A useful change record can keep the notice, reply, quotation, assessment, attachments and implementation status linked to the same event.
Costapp provides dedicated NEC workflows for Early Warnings and Compensation Events, including quotations and responses. Project communications and attachments stay with the relevant record, helping the team follow the event history without searching across disconnected email folders.
Make the process visible to both parties
Commercial control depends on people knowing what needs attention. A clear tracker helps the project manager and contractor’s team review open items, identify the next action and keep a record of the response. Costapp supports communication between contracting parties and keeps the project audit trail in one workspace.
Costapp is independently developed and is not affiliated with or endorsed by Thomas Telford Ltd. It helps teams organise project information; it does not replace the signed contract, project-specific amendments, professional judgement or legal advice.
Use the same project record for cost and forecast
Change control is connected to the commercial position. Approved and potential changes can affect forecast cost, value and margin. Costapp brings change management together with cost planning, CVRs, subcontract payments and project correspondence so teams can review those parts of the job within the same system.
Keep the subcontract programme visible
The Programme & Planning module lets a Subcontractor copy the saved Activity for Payment schedule, add planned dates and progress, and submit a dated monthly revision. The Contractor can accept it or record non-acceptance with a reason, and can add comments; each response is recorded against that revision. For an NEC ECS Option A subcontract, check the signed Activity Schedule and subcontract terms; the module highlights that long-running activities may need to be split into measurable monthly chunks where the Contractor takes a strict completion approach.
